Corevilla User Guide

Everything you need to start managing your properties, tenants, contracts, rent payments and maintenance requests.

Getting started

After registering, Corevilla creates your landlord account and organization. You can then begin adding your properties and units.

  1. Add your first property.
  2. Add one or more units to the property.
  3. Add or invite your tenants.
  4. Create a contract and assign its tenants.
  5. Add your bank details for tenant payments.
A unit can represent an apartment, house, office, room or any other individually rented space.

Properties and units

A property represents the building or address you manage. Units are the individual spaces rented to tenants.

Adding a property

  1. Open Properties.
  2. Select Add Property.
  3. Enter its name, type, address and other relevant information.
  4. Save the property.

Adding units

  1. Open the required property.
  2. Select Add Unit.
  3. Enter the unit name, number, rent, deposit and occupancy details.
  4. Add photographs or supporting files if required.
Corevilla subscriptions are calculated according to the number of units added to your account.

Additional landlords

You can invite another landlord or team member to help manage the same organization.

  1. Open your account management area.
  2. Select the landlord invitation option.
  3. Enter the person’s email address.
  4. Send the invitation.

Pending invitations can be revoked. Existing landlord access can also be disabled when necessary.

Tenants

Tenant profiles store contact and tenancy information. A tenant can also be invited to access the Corevilla tenant portal.

Adding a tenant

  1. Open Tenants.
  2. Select Add Tenant.
  3. Enter the tenant’s details and save the profile.

Inviting a tenant

Send an invitation from the tenant’s profile. The tenant follows the emailed link to create an account and access their contract, payments and maintenance requests.

Contracts

Contracts connect a unit with one or more tenants and define the rent, deposit, due date and tenancy period.

  1. Open Contracts.
  2. Select Create Contract.
  3. Choose the relevant unit.
  4. Enter the start date, end date, monthly rent, deposit and rent due day.
  5. Assign the tenant or tenants and identify the primary tenant.
  6. Activate the contract when it is ready.
Check all contract information carefully before activating it.

Bank details

Add the bank details and payment instructions that tenants should use when paying their rent.

You can include the account holder, bank name, IBAN, BIC or SWIFT code and any required payment-reference instructions.

Bank details are only shown to tenants when you choose to make them visible.

Rent and payments

Corevilla creates rent charges for active contracts. Tenants can submit payment details through their portal for your review.

Reviewing a tenant payment

  1. Open Payments.
  2. Select the pending payment submission.
  3. Check its amount, date and reference.
  4. Confirm the payment or reject it with an explanation.

Confirming a payment updates the associated rent charge. A rejected submission can be corrected and resubmitted by the tenant.

Maintenance requests

Tenants can report maintenance problems for their assigned unit. Landlords and tenants can then communicate through the request.

  1. Open Maintenance.
  2. Select a request to view its details.
  3. Review its priority, description and files.
  4. Send messages and update its status.
  5. Mark the request as resolved or closed when the work is complete.

Subscription and billing

Corevilla uses straightforward per-unit billing. Your subscription page shows the number of billable units and the corresponding subscription amount.

If a subscription payment fails, Corevilla provides a seven-day grace period and sends payment reminders. Management access becomes restricted if payment is not restored before the grace period ends.

You can update or restore your subscription from the subscription page.
